Complete guide — Manager

The manager runs the club's day-to-day organisation: members, categories, child profiles, events, call-ups and line-ups. The president keeps control of club information and of granting Manager and President access.

What you can do

  • Check the dashboard (next event, "To do", this week).
  • Members: add players, edit players and parents, manage their categories and Parent status, delete (deactivate) players and parents.
  • Categories: create, edit and delete member categories.
  • Children: create and edit child profiles, invite a non-member parent, approve or reject migrations to a player account.
  • Events: create, edit and delete events.
  • Call-ups: create, edit and delete call-ups.
  • Line-up: place players and designate the captain.
  • Manage your profile and password in Settings.

What you cannot do

  • Edit club information (name, logo, grounds): president only.
  • Create a manager, or grant Manager and President access: president only.
  • Edit or delete another manager or the president.

Getting set up

  1. Check the categories (Categories module): every player needs at least one to be invited to events.
  2. Organise members: fill in missing categories (flagged in the dashboard's "To do" block) and turn on the Parent status for the relevant members.
  3. Create child profiles if the club has minors.
  4. Plan the season's events.

Daily workflows

1. Planning a match or training

  1. Events → Create an event: title, type (Match, Training or Other), date, time, location, description and Target categories (at least one, required).
  2. Members of the targeted categories get a push notification and answer Present / Absent.
  3. Follow the answers from the event page or the dashboard (response bar, "To do" block).

2. Creating the call-up

  1. Call-ups → New call-up, then choose the event type and the event.
  2. Fill in the meeting time and the ground and, for a match, Home or Away and the opponent (optional).
  3. Select players among those who answered present, then Create call-up. Called-up players are notified.

3. Preparing the line-up (match)

  1. Open the call-up, then Manage formation.
  2. Drag players onto the field: each position is saved immediately.
  3. Designate the captain. See Managing the line-up.

4. Onboarding a new member

  1. Members → Add member: first name, last name, email, Player access, categories, photo and, if this member is a parent, the Parent switch. An email with the credentials is sent automatically.
  2. The Parent status can also be turned on later from the member's profile (Edit).
  3. In Children, create each child's profile and link the parent. Only the president and managers create profiles; the parent then answers on behalf of their child.

5. Approving a child → player migration

When a child turns 15, their parent can request migration to an autonomous player account. The request shows up in the Children module:

  • Approve migration: the player account is created with the email provided by the parent and a generated password. History (participations, call-ups, category) is transferred and the child profile is archived.
  • Reject: the parent is notified and can request again later.

Dashboard

Managers and the president share the same dashboard, in three blocks:

  1. Next event: type and title, response bar (present / absent / no reply) or number of called-up players, and a button to the event or call-up.
  2. To do: players who have not answered upcoming events (without a call-up) and members without a category. Shows "Everything is in order" when there is nothing to handle.
  3. This week: agenda of the next 7 days.

Best practices

  • ✅ Create events early enough to leave time for answers.
  • ✅ Target the right categories: only their members are invited.
  • ✅ Follow up yourself with the non-responders listed in "To do" (CallUp sends no automatic reminder).
  • ✅ Create the call-up as soon as you have enough answers, then the line-up for matches.
  • ✅ Tell players when the location or time changes: an ICS file already downloaded does not update.
  • ❌ Only delete a member deliberately: they are permanently deactivated (no reactivation).

Troubleshooting

A player is missing from the call-up list → They did not answer present, they are already on another call-up for the same event, or they don't have a category targeted by the event. For a match or a training session, only Player accounts (and children) can be called up: a manager does not appear in the list.

I can't find the "Manage formation" button → The call-up is not linked to a match.

A parent can't see their child → Check that the child profile exists and that this parent is linked to it.

I can't edit a member → Managers and the president can only be edited by the president.

Things to know

note
  • Events collect answers; call-ups finalise the selection.
  • Line-ups only exist for matches.
  • Deleting a child profile is irreversible (data is anonymised).
  • Categories determine event eligibility.
